APPLICATION FOR HIRE OF THE HALL
All applications for the hire of the hall must be made on the official WILLINGTON VILLAGE HALL HIRE FORM and the Hirer will be restricted to the use of the stated room(s) only.
THE HIRER will, during the period of the hiring, be responsible for supervision of the premises and the behaviour of all persons using the premises and grounds.
USE OF PREMISES
THE HIRER shall not sub-hire the premises or allow the premises to be used for any unlawful purpose or in any unlawful way nor do anything or bring onto the premises anything which may endanger the same or render invalid any insurance policies in respect thereof.
The Hirer is responsible for ensuring that the appropriate licenses are in place.
Willington Village Hall has a Premises Licence, number SDDC/023215 which covers most activities envisaged by the Management Committee (including plays, indoor sporting events, recorded music, films, live music and dance performance) but excludes the sale of alcohol.
PUBLIC SAFETY COMPLIANCE
THE HIRER shall comply with all conditions and regulations made in respect of the premises by the Fire Authority, Local Authority, Local Magistrates Court or otherwise, particularly in connection with any event which includes public dancing or music or other similar public entertainment or stage plays.
The responsibility of the Village Hall is to ensure that all fire alarms, fire exits, emergency lighting and fire extinguishers comply with standards as may be required by the Fire Authority and are in good working order.
THE HIRER (or the appointed responsible person) will acquaint themselves with the action to be taken in the event of fire
Prior to the event THE HIRER shall check that all fire exits are unlocked and panic bolts in good working order, all escape routes are free of obstruction and can be safely used, any fire doors are not wedged open, exit signs are illuminated and that there are no obvious fire hazards on the premises
There shall, in addition to the Hirer, be a minimum of 2 competent attendants on duty on the premises to assist people entering and leaving, none of who shall be less than 18 years of age. The Hall has a maximum capacity of 150 people, which must not be exceeded. Hirers are advised that the effective hall capacity for a seated audience is 90 persons and seated at tables 60 persons.
COMPLIANCE WITH THE CHILDREN ACT 1989
The Hirer shall ensure that any activities for children under eight years of age comply with the provisions of the Children Act of 1989.
The Hirer shall indemnify and keep indemnified each member of the Committee and the Village Hall's employees, volunteers, agents and invitees, during the hiring, against the cost of repair of any damage done to any part of the premises andall claims in respect of damage or loss of property or injury to persons arising as a result of the use of the premises (including the storage of equipment) by the Hirer.
THE HIRER is advised that the Village Hall is insured against any claims arising out of its own negligence only.
The village hall provides accommodation for a wide range of users, including the Willington Players, Dog Training, Slimming World, Willington Arts Festival, Coffee Clubs, the Ivy Club, Junior Willington Players, Keep Fit, Oakden Dance Academy, Purple Knitting, Willington Arts Group and the Women's Institute.

ACCIDENTS AND DANGEROUS OCCURRENCES
The Hirer must report all accidents involving injury to the public to a member of the Village Hall management committee as soon as possible and complete the relevant section in the Village Hall's accident book
The Hirer shall ensure that any animals brought into the Hall are kept under control. No animals whatsoever are to enter the kitchen at any time.
The Village Hall accepts no responsibility for any stored equipment or other property brought on to or left at the premises..
ALTERATIONS / FIXINGS
No alterations or additions may be made to the premises nor may any fixtures be installed or placards, decorations or other articles be attached in any way to any part of the premises
Users are required to park in the marked bays in order to maximise parking capacity. Overspill parking is allowed on the grassed area in front of the hall.
Users are advised that cars should be parked in such a manner as not to restrict access to the grassed area at all times, both to facilitate overspill parking and emergency vehicle access to the hall.
CANCELLATION BY THE HIRER
The Management Committee reserve the right, in the event of the HIRER wishing to cancel the booking before the date of the event and the Committee being unable to conclude a replacement booking also if the booking is cancelled on the day of the event or the Hirer does not show for the booking, to seek full payment from the Hirer.
END OF HIRE
AT THE END of the hiring, the Hirer shall be responsible for leaving the premises and surrounds in a clean and tidy condition, properly locked and secured unless directed otherwise.
THE COMMITTEE RESERVES the right to cancel any hiring by written notice to the Hirer in the event of:
the premises being required for use as a Polling Station for a Parliamentary or Local Government election or bye-election / the Committee reasonably considering that such hiring leading to a breach of licensing conditions / and/or unlawful or unsuitable activities will take place on the premises as a result of this hiring / and the premises becoming unfit for the use intended by the Hirer, including, but not limited to, Hall repair or refurbishment.
In any such case the Hirer shall be entitled to a refund of any deposit already paid, but the Committee shall not be liable to the Hirer for any resulting direct or indirect loss or damages whatsoever
UNFIT FOR USE
IN THE EVENT of the Hall or any part thereof being rendered unfit for the use for which it has been hired the Committee shall not be liable to the Hirer for any resulting loss or damage whatsoever.
The hiring agreement constitutes permission only to use the premise and confers no tenancy or other right of occupation on the Hirer.
